What data we collect and why

Enquiries

When you complete the contact form we collect your name, email address, telephone number (if you provide it), your message and the property reference the enquiry relates to. We use this to respond to you and to manage the enquiry.

• Legal basis: steps taken at your request prior to entering into a contract, and our legitimate interest in responding to business enquiries.
• Retention: for as long as needed to deal with your enquiry and, where a commercial relationship follows, for the period required by law.

Website analytics

If you consent, we collect first-party analytics about your visit: pages viewed, time on page, scroll depth, clicks, the last link clicked before leaving, the referring website, device and browser type, and your IP address. We use this only to understand how the Website is used and to improve it.

• Legal basis: your consent, which you may withdraw at any time.
• Retention: analytics records are kept for a maximum of 25 months.

Our analytics is entirely first party. We do not use Google Analytics or any third-party advertising or tracking service, and we do not sell or share this data with anyone.

Who we share data with

We do not sell your data. Where an enquiry concerns a property marketed in collaboration with another agency, we may pass your enquiry to that agency so it can be dealt with. Our hosting provider processes data on our behalf as a data processor. Data is hosted in the European Union.

Your rights

You may request access to your data, rectification, erasure, restriction of processing, portability, and you may object to processing. You may withdraw consent at any time without affecting the lawfulness of processing carried out beforehand. To exercise these rights, write to mallorca@polarisestates.es.

If you believe your data has been handled improperly you may lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermings- autoriteit, www.autoriteprotectiondonnees.be), or with the supervisory authority of the country where you live, such as the Agencia Española de Protección de Datos (www.aepd.es) in Spain.

Security

The Website is served over an encrypted connection (HTTPS). Access to enquiry records and analytics is restricted to authorised personnel and protected by authentication.
